OPTION CLAUSE: The Purchaser reserves the right to increase or decrease the quantity to be ordered up to 25 percent of bid quantity at the time of placement of contract. The purchaser also reserves the right to increase the ordered quantity up to 25% of the contracted quantity during the currency of the contract at the contracted rates. The delivery period of quantity shall commence from the last date of original delivery order and in cases where option clause is exercised during the extended delivery period the additional time shall commence from the last date of extended delivery period. The additional delivery time shall be (Increased quantity ÷ Original quantity) × Original delivery period (in days), subject to minimum of 30 days. If the original delivery period is less than 30 days, the additional time equals the original delivery period. The Purchaser may extend this calculated delivery duration up to the original delivery period while exercising the option clause. Bidders must comply with these terms.

• 1.Bidders must have an established, registered office located in Kerala and possess a valid Goods and Ser vices Tax (GST) registration issued by the Indian government. A local trade license compliant with Kerala s tate laws is also compulsory. Copies of all relevant documentation must be provided for verification.
• 2.The bidder shall clearly satisfy all warranty conditions, and the proposed items must confirm to the requ ired technical specifications, also bidder must maintain a Buyer's Feedback Rating of 5-star in Gem portal. All supporting documents for these credentials must be included.
• 3.Bidders should have been actively engaged on the Government e-Marketplace (GeM) portal for at least the past three years. Appropriate documents verifying this period of activity must be attached.
• 4.Bidders shall specify the make, model number, and actual delivered specifications in the BOQ complianc

• 5.All products offered must be current, actively supported, and in ongoing production. Bidders must affirm that none of the items are designated as end-of-life or discontinued by the manufacturer.
• 6.The bidder must demonstrate relevant experience in the supply and installation of items similar to those listed in the bid. To substantiate this, Copies of the Gem Contract Orders (quoted brand) must be submitte d along with the bid for verification.
• 7.The OEM and Bidder must hold ISO certificate. Proof of each certification must be included in the bid.
• 8.The buyer reserves the full right to accept or reject any bid based on comparative market analysis of the proposed products.
• 9.Brands proposed should have a proven track record for quality, reliability, and performance. Preference will be granted to those with strong market presence and consistently positive customer feedback.
• 10.Bid specific OEM authorization letter must be uploaded by bidder.
• 11.Bidders must have relevant experience in delivering similar supplies to central or state government or ganizations.
• 12.All criteria listed under the Additional Specifications & all taxes, delivery charges, installation charges, etc. shall be as part of the quoted price. No separate or additional payment shall be claimed or released for these at any stage of the contract, and the quoted price shall be deemed to be inclusive of the cost of all s uch items.
• 13.Ensure the submission of a product sample for evaluation on or before the bid closing date. 14 A functional Service centre must be available in the consignee district. Address proof of the same must be submitted. .
