Custom Bid For Services - SUPPLY, INSTALLATION AND COMMISSIONING OF GYM EQUIPMENTS FOR GYMNASIUM AT MO(V) NEW SITE AS PER SCOPE OF WORK AND SPECIFICATIONS

OPTION CLAUSE 50% : The buyer can increase or decrease the contract quantity or contract duration up to 50 percent at the time of issue of the contract. However, once the contract is issued, the contract quantity or contract duration can only be increased up to 50 percent. Bidders are bound to accept the revised quantity or duration. For lumpsum-based service contracts, the buyer may increase the scope of work and contract value up to 50 percent with the consent of the service provider

Bidder financial standing: The bidder should not be under liquidation, court receivership or similar proceedings, should not be bankrupt. Bidder to upload undertaking to this effect with bid.

Manufacturer Authorization:Wherever Authorised Distributors/service providers are submitting the bid, Authorisation Form /Certificate with OEM/Original Service Provider details such as name, designation, address, e-mail Id and Phone No. required to be furnished along with the bid

Registration / Empanelment Requirement: Contract shall be awarded to only such sellers , who are registered / empanelled / approved / enlisted with MSME/ NISIC/ DEFENCE ORGANISATION for the required goods / service category on the date of bid opening. Prospective bidders (if not already registered), are advised to get themselves registered with the said registration authority before bid opening date. (It is certified that the registration is granted by the registering agency as per Rule 150 of GFR following a fair, transparent and reasonable procedure.)

Bidder's offer is liable to be rejected if they don't upload any of the certificates / documents sought in the Bid document, ATC and Corrigendum if any.

AVAILABILITY OF OFFICE OF SERVICE PROVIDER: An office of the Service Provider must be located in the state of Consignee. DOCUMENTARY EVIDENCE TO BE SUBMITTED.

• (1)Site Survey. Firm should undergo the site survey at Material Organsiation to un derstand the scale and scope of work as the work is of specific nature and shoul d upload the acknowledgement the certificate given by the officer during the sit e survey. Site Survey will be conducted on 13 Oct 26 at 1030 hrs at Sports Offic e, New Site, MO(V), Visakhapatnam, (All Representatives attending Site Survey are directed to carry respective firm's Identity Card).
• (2)Performance Guarantee. The Bidder will be required to furnish a performance guarantee certificate by way of Bank Guarantee/ FDR through Public or Private Sector banks authorised to conduct government business of a total sum of 5% o f the contract value.
• (3)Paying Authority. No advance payment will be done , payment will be made po st completion of supply/ work through CDA(N), Vizag.
• (4)Specifications. The specifications clause will form part of the contract placed o n the successful bidder. The seller gurantees to meet the specifications as per t he scope of work and to incorporate the modifications to the existing design con figuration to meet the specific requirement of the buyer.
• (5)Transportation. No transportation charges/ separate transport will be provided to the seller. The seller is required to supply the items to the designated locatio n at his own arrangements.
• (6)Quality. The quality of the stores/ services delivered according to the present c ontract shall correspond to the technical conditions and standards valid for the deliveries of the same stores in the sellers country or specifications enumerated as per the scope of work and shall also include their in modifications to the stor es suggested by the buyer, the seller shall confirm that the stores under this co ntract are new.
• (7)Inspection Authority . The inspection authority will be departmental officer/ off icer in charge the mode of inspection will be user inspection.
• (8)The conditional quotes will be outrightly will be rejected, part supply/ part work q uotes will not be acceptable.
• (9)Firms are to bid for the entire scope of work and should fill the certificate attache d in the specification document in the bid and upload along with the other bid d ocuments for technical evaluation. Firms falling to do so are liable for rejection.
• (10)Firms not replying to queries based on technical bids within the specified time will be rejected.
• (11)The firm should have annual turnover of the bid estimated value in the last thre e financial years and a certificate to be enclosed duly verified by charted accou ntant.
• (12)Buyer reserves all the rights to cancel the bid at any time without specifying th e reasons.
• (13)Bid Security Declaration. Bidders to sign a Bid securing declaration on firm’s let ter head accepting that if they withdraw or modify their bids during the period o f validity or if they are awarded the contract and they fail to sign the contract or to submit a performance security before the deadline defined in the request for bids document they will be suspended for the period of one year (time specified in the request for bids document) from being eligible to submit bids for contract s with entity that invited the bids. The bid declaration as per format be submitted along with other technical documents.
• (14)In the matter of any dispute the decision of the buyer of the organisation will be the final.
• (15)Submission of execution plan to carry out the contact and escalation matrix document for service support are to be submitted as per format uploaded in the bid along with the other technical documents
• (16)Non Disclosure Declaration Certificate . Non Disclosure declaration certific ate are to be submitted as per the format uploaded in the bid along with other documents
• (17)Warranty- Minimum 2 year comprehensive on site warranty from the date of s uccessful installation and acceptance ( 1 8 ) Installation and commissioning - Sight preparation,installation,commissioning,calibaration,testing and user demonstation shall be carried out by OEM/Authorized service engineer at consignee premises wit hout any extra cost.
• (19)Training- Basic operational training shall be provided to the users after installa tion
• (20)Documents to be submitted- The bidder shall submit:
• I)OEM product brochure/data sheet ii) Techinical compliance sheet iii) OEM athorization certificate iv) warranty certificate
• v)GST registration certificate vi) Pan card vii) make and model details
• (21)Quality- Equipment should be manufacture under ISO 9001 certified manufact uring process ii) product should conform to applicable international quality and safety standards.
• (22)Delivery- Delivery shall be complete within the period mentioned in the GeM Bi

d.

• (ii)any transit damage shall be replacead by the supplier at no additional cost
• (23)Inspection-Inspection shall be carried out by the consignee after installation
• (ii)payment shall be released only after satisfactory installation and acceptance.
• (24)Price- the quoted price shall be inclusive of:
• I)Packing ii) Forwarding iii) Transportation iv) Insurance
• v)Sight preparation vi) Commissioning vi) Demonstration vii) GST viii) Any other incidental charges
• (25)service and support- The bidder shall provide service support within 48 hours of complaint registration.
• (ii)Breakdown shall be attended promptly during the warranty period
• (26)Spares availability-Spare parts and survice support should be available for at le ast 7 years after the date of supply
• (27)Compliance-Bidder shall provide a point wise compliance statement against ev ery technical specification mentioned in the bid .
