OPTION CLAUSE: The Purchaser reserves the right to increase or decrease the quantity to be ordered up to 25 percent of bid quantity at the time of placement of contract. The purchaser also reserves the right to increase the ordered quantity up to 25% of the contracted quantity during the currency of the contract at the contracted rates. The delivery period of quantity shall commence from the last date of original delivery order and in cases where option clause is exercised during the extended delivery period the additional time shall commence from the last date of extended delivery period. The additional delivery time shall be (Increased quantity ÷ Original quantity) × Original delivery period (in days), subject to minimum of 30 days. If the original delivery period is less than 30 days, the additional time equals the original delivery period. The Purchaser may extend this calculated delivery duration up to the original delivery period while exercising the option clause. Bidders must comply with these terms.

  • 1.The bidder shall have a minimum of three (03) years’ experience in the supply and installation of similar works/services as on the bid opening date. Documentary proof in support of such experience shall be sub mitted along with the bid.
  • 2.The bidder must have successfully executed at least one similar work order of a minimum quantity equa l to 20% of the total tendered quantity during the last three (03) years. Copies of work orders, along with c ompletion certificates/supply proof/invoices, shall be submitted in support of the above.
  • 3.The bidder shall have an Annual Average Turnover of a minimum of INR 10 lakhs during the last three (0 3) financial years. The turnover shall be certified by a Chartered Accountant with UDIN. Relevant financial statements / last 3 years ITR acknowledgement shall be submitted.
  • 4.The bidder shall submit a notarized affidavit on non-judicial stamp paper of INR 100/- declaring that the bidding firm and its directors/partners/proprietors/owners have not been blacklisted .
  • 5.The bidder shall submit a self-declaration regarding compliance with Rule 144(xi) of GFR relating to restr ictions on procurement from a bidder of a country which shares a land border with India.
  • 6.The bidder shall supply only new, unused, and unused-in-service products. Refurbished, recycled, old, o r reconditioned items shall not be accepted. An undertaking in this regard is to be submitted along with th e bid.
  • 7.The bidder shall upload a signed and stamped copy of the complete tender document with Bid No and d ate of signing the document,
  • 8.Acceptance of all terms and conditions certs to be attached, .9. The bidder shall submit self-attested, signed and stamped copies of the following documents: a) GST re gistration certificate b) PAN Card of the firm c) Udyam Registration Certificate d) Cancelled Cheque e) Ban k Verified EFT Mandate
  • 10.Only the documents uploaded at the time of bid submission shall be considered for evaluation with dat e, stamped and signed with Bid No. Any clarification, replacement, or additional document submitted after bid submission shall not be considered.
  • 11.The agency shall mandatorily visit the site before submission of the bid. Proof of site visit duly acknowl edged by the department/site authority shall be uploaded along with the bid, failing which the bid shall be liable for rejection.
  • 12.The bidder shall submit a declaration confirming no history of unsatisfactory performance or contract termination in any Government contract in the last three (03) years.
  • 13.The bidder shall confirm the availability of adequate resources, infrastructure, and capacity to execute the order quantity within the specified timeline.
  • 14.Any item found defective, damaged, short-supplied, or not conforming to the bid specifications shall be replaced by the bidder at its own cost within the time specified by the purchaser.
  • 15.The bid shall be submitted strictly in accordance with the terms & conditions and technical specificatio ns prescribed in the bid document.
  • 16.Wherever applicable, the OEM authorization certificate is to be provided along with the technical bid.
  • 17.The bidder shall submit a duly notarized affidavit on a non-judicial stamp paper of INR 100 confirming t hat a minimum warranty period of 12 months shall be provided for all supplied items, materials, and work manship from the date of successful completion and handing over of the work. During the warranty period, the bidder shall be responsible for rectification/replacement of any defects, deficiencies, or faults arising o ut of poor workmanship or defective materials at no additional cost to the purchaser.
  • 18.The agency shall strictly comply with all applicable safety standards, electrical safety regulations, stat utory requirements, and labour laws during the execution of the work. The agency shall be solely responsi ble for ensuring the safety of manpower, equipment, and the work site, and any violation or negligence in t his regard shall be entirely at the bidder’s risk and cost.
  • 19.The bidder must have the necessary tools, testing instruments, machinery, equipment, and skilled ma npower required for the proper execution, maintenance, repair, and restoration of the assigned work.
  • 20.The bidder shall submit a duly notarized affidavit on a non-judicial stamp paper of INR 100 authorizing a specific individual to act as the Authorized Signatory of the company/firm for the subject tender. The affid avit shall clearly state that the authorized person is legally empowered to sign, submit, and execute all ten der-related documents, declarations, undertakings, agreements, and correspondence on behalf of the com pany/firm. The affidavit must specifically mention the subject bid number and shall be duly executed withi n the bid submission period/window of the tender.
  • 21.The purchaser reserves the right to accept or reject any or all bids without assigning any reason there of, and the decision of the purchaser shall be final and binding on all bidders.
  • 22.The bidder shall be fully responsible for safeguarding department property, installations, and surroundi ng infrastructure during execution of the work. Any damage caused due to negligence shall be rectified/rei mbursed by the bidder at its own cost.
  • 23.Prebid meeting is required to be attended by the bidder, to clear any doubts regarding site of equipm ent installation any clearity.
  • 24.It is mandatory to submit the laboratory test report of raw mat erials (metal (GI) and plastic (LLDPE) issued by NABL approved lab & Plastic should be check as per ASTM Slandered CIPET lab. The report must be before the tender notice publication date.
  • 25.The bidder should submit Trade mark Registration Certificate o f manufacturer Class 28 & 37 before the tender publish date along with tender. 26.The bidder should submit Environment management system iso 14001:2015, Quality management: ISO 9001:2015, Occupational health and saf ety: ISO 45001:2018,
  • 27.The bidder should submit the manufacturer’s factory license ce rtificate, along with the tender as proof that the manufacturing unit is valid .
