• i.The Quoted item by the seller should comply all terms and conditions, specification of the document uploaded by the buyer under technical specification ii. Bidders are requested to submit the catalogue of offered item. iii. Bidders are required to submit OEM compliance statement against every item as indicated in bid al ong with this bid. iv. Bidders must submit the duly filled and signed Annexure-I, Annexure-II, Annexure-III along with Technical Bid.
• v.Performance Security or Performance Bank Guarantee (PBG):- The successful bidder(s), on whom or der will be placed, has to submit a performance security of 5% of the total order value at the earlies t as per PO terms before release of any payment. Performance security has to be submitted in the f orm of Bank Guarantee/Demand Draft from any Nationalized/Scheduled commercial Bank in favour of the Registrar, IIT (ISM), Dhanbad. Performance security should remain valid for a period of tw o months beyond the date of completion of all contractual obligations of the successful bidder(s). No interest will be payable by IIT (ISM) Dhanbad on the Performance Security deposited. In case the co ntractor fails to provide satisfactory service, the Performance Security submitted by the bidder(s) is liable to be forfeited. Link of PBG format – bankguaranteeformats.pdf vi. Payment will be made on successful delivery, installation (if any) and acceptance only subject to su bmission and verification of PBG. vii. Liquidated Damages:- If the Seller/Service Provider fails to deliver any or all of the Goods/Services w ithin the original/re-fixed delivery period(s) specified in the contract, the Buyer will be entitled to de duct/recover the Liquidated Damages for the delay, unless covered under Force Majeure conditions aforesaid, @ 0.5% of the contract value of delayed quantity per week or part of the week of delayed period, until actual delivery or performance, as pre-estimated damages not exceeding 5% of the tot al contract value without any controversy/dispute of any sort whatsoever. However, in case of inord inate delay maximum deduction shall be 10% of the total contract value. viii. No advance payment will be made. Payment may be released through RTGS/ online payment mode against complete execution of the purchase order (PO)/ work order and submission of all the require d documents as per the order preferably within 45 days after satisfactory supply, inspection, installa tion/commissioning & acceptance and on submission of pre-receipted tax invoice, delivery challan, warranty certificate and installation report in triplicate and Performance Bank Guarantee. Subject to verification. ix. Bidders are required to submit OEM catalogue / Data Sheet in support of technical specification of p roducts being offered.
• x.Bidders are required to submit PAN and GST certificate along with this bid. xi. Bidders are required to submit Manufacturer Authorization Form (MAF) along with this bid. In case b idder quote goods of more than one OEM then MAF is required from all different OEM. xii. Bidders are required to submit all relevant documents / data as asked in bid document. Failing to th is bid will be liable for rejection. xiii. Common IP Addresses: Bidders may please note that GeM is capturing and showin g the IP addresses used by the Buyer and the Bidder(s) /Seller(s). The received bids having matchin g/common IP address with either Bidder(s)/Seller(s) or Buyer, shall be outrightly rejected & shall not be considered for further evaluation. Availability of Service Centres: Bidder/OEM must have a Functional Service Centre in the State of each Consignee's Location in case of carry-in warranty. (Not applicable in case of goods having on-site warranty). If service center is not already there at the time of bidding, successful bidder / OEM shall have to establish one within 30 days of award of contract. Payment shall be released only after submission of documentary evidence of having Functional Service Centre.

Warranty period of the supplied products shall be 1 years from the date of final acceptance of goods or after completion of installation, commissioning & testing of goods (if included in the scope of supply), at consignee location. OEM Warranty certificates must be submitted by Successful Bidder at the time of delivery of Goods. The seller should guarantee the rectification of goods in case of any break down during the guarantee period. Seller should have well established Installation, Commissioning, Training, Troubleshooting and Maintenance Service group in INDIA for attending the after sales service. Details of Service Centres near consignee destinations are to be uploaded along with the bid.
