• 2.The bidder must see and understand the Tender Documents for understanding of buyer’s require ment.
• 3.All relevant permission/license like PPP, IPRS, PPL, Novex etc. (if any) from the local gov ernment/other authorities need to be obtained/arranged by the Event Management firm without any extra charges. The copy of the same may also submit in NIFT Raebareli befor e the day of events.
• 4.The Event Management firm having Experience of minimum of 3 successfully completed Events of National Level Institutes/Govt. Organizations/College Shows/Corporate Commercial/ Non-Commercia l Events/ Celebrity Events/Product Launch Shows/Movie Promotion etc. in last 5 years. The value of work order shall not be less than Rs.2.00 Lacs each in National Level Institutes/Govt. Organizations/College Shows/Corporate Commercial/ Non-Commercial Events/ Celebrity Events/Prod uct Launch Shows/Movie Promotion etc. In support of this, the original scanned copy of work order/e xperience letter should be attached.
• 5.Copy of Registration Certificate in support of GST and PAN No. (Submit original scanned copy onli ne).
• 6.The rates shall include cost of labours, material hiring & any other charges for the works complete in all respects.
• 7.The quoted rates shall also include all taxes, License Fee, GST etc. as applicable and no extra char ges shall be payable on this account.
• 8.Fixing and laying of items should be done by the firm. Flooring should be neatly fixed and cleaned.
• 9.The rates quoted should be on FIRM & FIXED basis.
• 10.The responsibility for dispose off material is solely on bidder/contractor.
• 11.The firm will depute their technically qualified executive to coordinate the job with NIFT team in all specified venues. During the (full) duration of contract or contract period, Ser vice Provider/Bidder must have a dedicated team of manpower strength of 25 personnel to conduct events.
• 12.The full & final payment shall be made after providing the necessary services based on certificatio n by the concerned department. TDS (GST/IT) will be deducted as applicable.
• 13.The agreement will be valid for the above said services as incorporated in the tender document. T his should be strictly adhered to.
• 14.Relaxation in turnover & Experience: As per the Govt. of India policy circular 1(2)/2016/MA dated 10th March 2016 relaxation shall be provided to Startups/MSME/MSE/NSIC in public procurement on prior experience & Turn over criteria subject to meeting quality and technical specifications. The MS ME/Startup/MSE/NSIC relaxation or exemption will applicable only those firms who registered as MS ME/Startup/MSE/NSIC firm in the respective category i.e. providing services for Event Management o r organizing similar type of Event/Show/Corporate Commercial/ Non-Commercial Events/ Celebrity E vents/Product Launch Shows/Movie Promotion etc. The other services provider or traders will not be given any relaxation or exemption in this regard.
• 15.Fixing and laying of items should be done by the firm. Flooring should be neatly fixed and cleaned .
• 16.Any dispute arises out of this tender is subject to the jurisdiction of Rae Bareli Court only.
• 17.Payment will be made through GeM only. The required information for making payment through G eM duly vetted by your banker along with the invoice.
• 18.No escalation /Variation on the prices on any account will be considered for adjustment/payment.
• 19.The bidder shall inspect the site of work and thoroughly familiar himself with the nature of work, s ite conditions and access to the site and location before submission of the tender.
• 20.Conditional Bids/Vague offers like “Duties as applicable” shall not be considered.
• 21.NIFT, Raebareli reserves the right to cancel the bid if it considers that there is a cartel formation a nd that it is in overall interest of NIFT.
• 22.If the works is not executed after accepting the same, the firm shall be liable to be blacklisted as p er Government norms.
• 23.If any of the items is not functioning during the event, the payment will not be made for that item/
• s.The items mentioned in the BOQ, the bidder must ensure the required quality, materials, dimensi ons & other parameters and quote accordingly. In case items are not as per specification quoted the same shall not be accepted. No payment, claims for such items shall be entertained.
• 24.The firms are requested to quote the rate of each item individually (including GST) in th e attached excel sheet, failing which the financial bid will be treated as non-responsive, hence rejected. This excel sheet is a part of financial bid only, so bidders are advised not to attach this excel sheet (available on GeM bid) along with Technical Bid documents, if do so the bid will be rejected. However, the L-1 will be decided on the basis of overall to tal quoted bid amount including GST.
• 25.The quantity given in the tender offer may be increase or decrease or withdrawn as per actual req uirement. The payment shall be made accordingly. Therefore, bidders are required to quote the rate of each item individually, failing which the tender offer shall be rejected.
• 26.The Event Manager is expected to organize the event of very high standard and keep entire area mentioned in the BOQ neat and tidy.
• 27.The works should be according to the specifications provided in the tender document. If the works is not executed as per specifications, suitable deductions will be made or the order shall be rejected by NIFT, as the case may be, at the cost of firm’s risk.
• 28.All the material as per required in tender specification (Stage, Main Gate, Backdrop, Standees, Sid e drop, Tentage etc.) should be ready before one day the event day (i.e. 21.12.2026 for Converge – 2026 or any other day as decided and informed by NIFT Authority).
• 29.Printing matters (for Design, Logo, Colour Options, Flex, Gate, Standees etc.) will be provided by N IFT Authority, the bidder may please take confirmation/approval before final printing of each & ever y item.
• 30.Condition beyond control of either parties like war, hostility, acts of public enemy, civil commotion , sabotage, serious loss or damage by fire, explosions, epidemic, strike, lockout or acts of God come under the legal concept of Force Majeure (FM), Delays in performance of contractual obligations und er influence of FM conditions are condonable by the other party without any right of termination or d amages, provided notice of the happening of any event is given by the affected party to the other wi thin 7(Seven )days from the date of occurrence works under the contract shall be resumed as soon as practicable after such event has come to an end or ceased to exist. However, if such event contin ues for a period exceeding 120 days, either party may at its option terminate the contract by giving notice to the other party.
