OPTION CLAUSE: The Purchaser reserves the right to increase or decrease the quantity to be ordered up to 25 percent of bid quantity at the time of placement of contract. The purchaser also reserves the right to increase the ordered quantity up to 25% of the contracted quantity during the currency of the contract at the contracted rates. The delivery period of quantity shall commence from the last date of original delivery order and in cases where option clause is exercised during the extended delivery period the additional time shall commence from the last date of extended delivery period. The additional delivery time shall be (Increased quantity ÷ Original quantity) × Original delivery period (in days), subject to minimum of 30 days. If the original delivery period is less than 30 days, the additional time equals the original delivery period. The Purchaser may extend this calculated delivery duration up to the original delivery period while exercising the option clause. Bidders must comply with these terms.

• 1.The bidder/OEM should have 3 years of experience in manufacturing such equi pment in their manufacturing facility.
• 2.The bidder/OEM should have not been debarred/blacklisted by any State Gover nment/ Central Government institution/ department for any reason. An affidavit in this regard on stamp paper should be submitted by the bidder/ OEM.
• 3.Copies of acknowledgement of GST returns for the latest quarter of Financial Y ear 2025-26 are to be submitted.
• 4.EMD in favour of The Principal Sitamarhi Institute of Technology, Sitamarhi sho uld be submitted Before Bid Opening.
• 5.Bidder/OEMs must produce a work order for a minimum amount of 50 lacs, of which 80% payment must have been received.
• 6.Bidder/OEMs must provide the details (Name of OEM (Make) and Model Numbe
• r)of all the equipment to be supplied by them. Bidder/OEMs are also required to submit the OEM's product catalogue/brochure indicating the specifications of off ered equipment for technical suitability.
• 7.OEM Should have its own manufacturing facility & should enclose Original Phot os, Images of the Manufacturing Plant as proof of OEM.
• 8.Bidder/OEM must have a Solvency Certificate of amount 80% of bid value issue d by Scheduled/Nationalize Bank. The same should be submitted along with the bid. The issue date should not be more than 6 months old from the date of last day of submission of bid.
• 9.Copies of acknowledgement of Income tax returns for the Financial Year 2022- 23. 2023-24 and 2024-25 are to be submitted.
• 10.Sample product/ online product tutorial of product can be demanded from any bidder during technical evaluation to ascertain quality & specification as per dis cretionary of buyer. Bidder has to provide sample within 10 days or online prod uct within 2 days of demand otherwise bid may be rejected.
• 11.The OEM must submit MSME & NSIC Certificate, if applicable.
• 12.Factory License of OEM, Process of Manufacturing in the Factory and List of Pla nt & Machinery should be submitted by the bidder.
• 13.Payment will be released only after satisfactory delivery, installation, foundatio n, demonstration and acceptance of goods at the Institute.
• 14.All bid submitted shall also include the following information or documents in t he technical bid.
• (I)The bidder must submit the copy of PAN Card.
• (II)The bidder must submit copies of their GST registration certificate from the competent authority.
• 15.The bidder/OEM average annual turnover in India should be at least Rs. 10 Cr ( Ten Crores) for the last 3 Financial Years (FY-2022-23, FY-2023-24 and FY 2024- 25). The same should be supported by Balance sheet audited by CA.
• 16.Bidder /OEM must have active service support and required to furnish contact details of Service Executive, details to be furnished on bidder letter head.
• 17.Bidder should submit valid ISO 9001, ISO 45001 and ISO 14001 certificate of O EM.
• 18.OEM must have NABL Calibration Facility on Own or through its Sister Concern. Documents in support should be submitted with the bid.
• 19.Bidders who do not meet the criteria given above are subject to be disqualified, if they have made untrue or false representation in the forms, state ments and attachments submitted in proof of the qualification requirements or have a record of poor performance, not properly completing the contract, inordi nate delays in completion or financial failure, any false declaration, etc.
• 20.All products should carry a three-year onsite warranty.
• 21.Details of Comprehensive Annual Maintenance Contract (CAMC) after the warra nty period may be clearly mentioned in the Financial Bid Documents (as applica ble).
• 22.The prices must be inclusive of GST, packing, freight, unloading, installation & f oundation etc.
• 23.Principal Sitamarhi Institute of Technology, Sitamarhi reserves the right to canc el the bid at any time without assigning any reasons thereof.
• 24.The bidder must provide the hard copies of detailed manuals/brochures with e ach item/equipment.
• 25.in case of any conflict in term and condition, the ATC will be accepted. .
